What is a transfer certificate?
A transfer certificate (TC), also called a school leaving certificate, is the official document a school issues when a student leaves. The next school almost always requires it before confirming admission, because it establishes the student's identity, the class they completed, and that they left in good standing with no outstanding dues.
What a TC must include
- Student name, and father's and mother's names
- Admission number and date of admission
- Date of birth in both figures and words
- Class admitted to, and class last studied
- Date last attended and date of leaving
- Whether qualified for promotion
- Whether all dues are cleared
- General conduct and reason for leaving
- TC number, date of issue, and principal's signature
Exact requirements vary by board and state, and some boards prescribe their own printed format. Treat this tool as a standard general template and confirm your own board's current requirements before issuing.
Issuing TCs without the paperwork
Filling a TC by hand means copying details from several registers and re-checking dues with the accounts desk. School management software already holds the admission record, class history and fee status, so it can generate the certificate with those fields filled in, track the request from application to issuance, and keep a permanent register of every TC issued, which is exactly what inspections ask to see.
